Below we have outlined the main regulations and procedures for your convenience.

Policies and Procedures
Please ensure you visit our website www.greenfields-nurseryschool.com to read our policies and procedures before signing the consent form in your welcome pack. If you do not have access to the internet please let a member of staff know, a hard copy is available on request.

Website
Term dates and other information can be found on the website. This is usually updated at the end of August for the commencing academic year.

Session Times
8.50 -11.50a.m - term – time only
We request that you do not bring your child before 8.45a.m as the door will not be open. Time prior to the session is spent preparing for the arrival of the children, please give the staff the opportunity to do this.

12.00-3.00p.m – term time only
We request that you do not arrive before 12.00 noon as the 10 minutes between each session gives us the opportunity to see the children home before welcoming in the children for the afternoon session.

An option to start at 8.00am is available – please see a member of staff for details.

Registration
Usually within 2 weeks of starting, your child will have a card with their name on. Please help your child to find their name (which are displayed on the table at the front of the nursery) and put it in their key person box when they arrive; this is their self registration. If your child’s name is not there please advise a member of staff who will help you.

Personal belongings / nappies and wipes
Please could we advise that ALL children bring in a spare set of clothes in a bag (not plastic for safety reasons) in case of ‘accidents’. Please use any peg to hang anything you wish, bags MUST be taken at the end of each session. The children do not have specific pegs. Children in nappies MUST bring in their own nappies and wipes, we DO NOT supply nappies or wipes. Please label ALL belongings with your child’s FULL name.

Snack time
As from September 2017 a voluntary contribution of 50p per session or 75p per day is suggested if you wish us to supply your child with a snack. Children are offered a snack during the morning and afternoon. This usually consists of a selection of fruit and vegetables, cheese, and breads. We serve milk and water only to drink. You are welcome to bring similar items for your child is a named container.

Lunchtime
All children require pack lunches that are present at 12.00. We do not have the facilities to heat up or keep food cold. We suggest the use of ice packs in their lunch box to keep the food at the appropriate temperature. Greenfields encourages healthy eating and request children do not bring fizzy drinks or sweets to nursery in their lunch boxes. Children are offered water to drink or they may bring their own.

Collection of children
Please advise a member of staff if someone else will be picking up your child. Please make sure they know your password (as stated on the enrolment form) as they may be asked for it!

Contact book
Within 2 weeks of your child starting you will be offered a contact book. This book provides the opportunity for staff and parents to communicate about what your child has done both at home and at nursery. Please do not write urgent or important messages in this book.

Key person
Usually within the first 2 weeks your child will be allocated a key person. You will be advised who your child’s key person is and their role.

Absences
If your child will not be attending for any reason please ring the setting as soon as possible to advise them. If your child is off sick due to a rash, sore throat, discharge from the eyes, or sickness and diarrhoea, they MUST be kept at home until his/her doctor has certified in writing that he/she is fully recovered or 48 hrs have elapsed since the last outbreak.

Free Early Education and Tax –free Childcare
Greenfields participates in the following schemes:

15 hours free childcare for all families with 3 and 4-year-old children from 1 January, 1 April or 1 September following your child's 3rd birthday.

30 hours free childcare for working families with 3 and 4-year-old children .You, and any partner, must each expect to earn (on average) at least £120 a week (equal to 16 hours at the National Minimum or Living Wage). If you, or your partner, are on maternity, paternity or adoption leave, or you're unable to work because you are disabled or have caring responsibilities, you could still be eligible. You can't get 30 hours free childcare if you, or your partner, expect to earn £100,000 or more. We work in partnership with our sister nursery Greenfields House to offer this scheme.

Tax-Free Childcare for working families, including the self-employed, in the UK with children under 12 (or under 17 if disabled). If you're a working parent with children under 12 (or under 17 for disabled children), you can open an online account to pay for registered childcare. The government will top-up the money you pay into the account. For every £8 you pay in, the government will add an extra £2. You can receive up to £2,000 per child, or £4,000 if disabled.

Childcare vouchers
If your employer offers childcare vouchers or arranges your childcare, you can get up to £933 a year in tax and National Insurance savings. The amount you can get in childcare vouchers depends on how much you earn and when you joined the scheme. You pay for your childcare before tax and National Insurance deductions are made. You can’t use childcare vouchers at the same time as Tax-Free Childcare. Over time, Tax-Free Childcare will replace childcare vouchers and childcare arranged directly by your employer. Childcare vouchers will remain open to new joiners until April 2018. Parents already using childcare vouchers can continue to do so after this date, as long as the employer continues to offer them. The tax and National Insurance exemption for workplace nurseries will also continue.

Payment of fees
We do not ask for a deposit prior to your child starting but we do request that all fees are paid on time by the invoice dates shown. We will charge £10.00 per week for any outstanding fees. Fees must be paid in line with the dates on your invoice. Parents whose fees are more than 2 weeks behind may lose their child’s place without notice.

Returning forms
Please could we remind parents to return any forms requested. We are required by law to hold certain information. If you require any additional forms please speak to the nursery supervisor.

Newsletters
You will receive a termly newsletter to advise you on any events or activities and forth coming events.

Staff ratios
We work on a ratio of 1 adult to 4 children for 2 year olds and 1 adult to 8 children for 3 year olds, for further details please see a member of staff

Session Times
We request that you do not bring your child before their booked session time, as the door will not be open (you may wait in the hallway in bad weather) Time prior to the session is spent preparing for the arrival or departure of children, please give the staff the opportunity to do this.

Registration
It is the parents’ responsibility to sign their child in the register on arrival and sign out on your departure. This is essential for fire regulations. The register is checked by staff and with the children during the morning.

Picture cards
Please help your child to find their picture; this is their self registration. If your child’s picture is not there please advise a member of staff who will help you.

Coat pegs
Your child will be allocated a peg, which they will share with other children, to hang anything you wish to leave at the nursery. Please could we advise that ALL children bring in a spare set of clothes in a bag (not plastic for safety reasons) in case of ‘accidents’.

Changing shoes
Please could children change their outdoor shoes to inside shoes or slippers for hygiene and to help maintain the floor and equipment. Slippers / indoor shoes can be left at nursery held together by a named peg. We also request wellington boots for outdoors.

Children who are present at 4.00pm will be offered a light tea usually based on a 3 week menu. If you do not wish your child to have a light tea and prefer to bring your own please let a member of staff know.

Extra curriculum activities
Greenfields offers specialist activities throughout the year at a small charge. Our activities include dance and movement. Please register your interest with a member of child if you wish your child to take part in any of these activities. A qualified, DBS checked instructor leads the activity, enabling children to gain the best possible skills in the activity.

Free Early Education (FEE) Two, Three and Four year olds
Free Early Education is a core offer of 570 hours per year. It can be taken as 15 hours per week over 38 weeks ( term-time) or 12 hours over 48 weeks (please see the Manager for details), usually the term after their 3rd birthday. Please ask a member of staff for details.The minimum session length is 2.5 hours and the maximum is 10 hours per day. Places can be taken between the hours of 7.00 am and 7.00 pm. Parents do not have to take the full 15 hours if they feel it is too long for their child. Greenfields House offers Free Early Education over a minimum of 2 days between the hours of 8.00am and 6.00pm, in accordance with our session times. Parents/carers may access as little or as much of the Free Early Education as they wish, space permitting, and may take up the entitlement at a maximum of 2 providers. Free Early Education will be split pro-rata based on your child’s attendance. Parents are to inform the supervisor if this is the case. Please note that under the scheme there is no guaranteed right to a place, the admissions policy will apply.

Additional funding criteria for two year olds
Providers must be in receipt of an ‘Eligibility Confirmed’ email before accepting a child under the terms of the FF2 Scheme. Payment cannot be guaranteed if eligibility has not been confirmed.

30 hours of free childcare for three and four year olds.
Greenfields House offers the 30 hours free childcare. A child qualifies for the extended entitlement if both parents are working (or the sole parent in a lone parent family is working) and each parent earns, on average, a weekly minimum equivalent to 16 hours (National Minimum Wage or National Living Wage) and less than £100k a year.

Enrolment fee
A non-refundable enrolment fee of £20.00 must be paid to secure your child’s place, this only applies for children who do not receive Free Early Education and pay for their sessions. Children who access Free Early Education and do more than the 15hrs / 30hrs per week entitlement will be required to pay the enrolment fee prior to their start date.

Payment of fees
Fees apply all year round for children who do not receive Free Early Education. The nursery is closed during Christmas and New Year and all bank holidays.An invoice will be issued each term (12-14weeks) giving parents the opportunity to pay in 1, 2, 3 or 4 instalments for the term. Any Free Early Education hours will be shown and a total kept for the year. Fees must be paid on the date stated on the invoice unless a prior arrangement has been made. We regret that there will be no reduction if your child is being absent or if you are on holiday.Any fees that are outstanding for 2 weeks may result in the loss of your child’s hours that you pay for and offered to someone else who requires it.We do not ask for a deposit prior to your child starting but we do request that all fees are paid in full on your child’s first day termly or monthly in advance. If fees are not paid on the dated stated on the invoice, you may be charged a late fee.

Returning forms
